Rent & Payments

How can I collect rent online across multiple properties?

Keep each rent charge tied to its property and unit, offer an eligible online payment method, and verify the provider outcome before marking a balance paid. Aptoria records eligible card or ACH payments through a configured Stripe-connected flow. Account and provider setup are required; uncertain payments, money exceptions, and security-deposit decisions stay with an authorized person.

How do I track payments for more than one building?

For each charge, keep the property, unit, tenant, due date, payment attempt, and provider outcome together. Aptoria reflects supported payment records, but this page does not claim a completed accounting cutover or automatic reconciliation for every portfolio. Verify the account’s property and unit mapping before relying on a balance.
Review the charge and unit before comparing balances across properties.
Distinguish pending and processing payments from provider-confirmed outcomes.
Keep returns, reversals, disputes, and unmatched deposits open for review.
Use the related record when explaining a balance to a tenant or bookkeeper.

Can late fees and deposits run without review?

A late-fee rule depends on the lease, account configuration, and applicable law. Aptoria’s published rent-payment status does not establish universal automatic late-fee posting. Security-deposit deductions and deadline overrides are permanently human-required actions.
Confirm the late-fee workflow is actually available and enabled for the account.
Check the lease and relevant jurisdiction before charging a fee.
Keep a disputed or failed payment out of the paid balance until reviewed.

What Aptoria can do, and what stays with you

Eligible tenants can pay through a configured Stripe-connected payment flow, with payment records reflected in Aptoria. Requires an eligible Stripe setup and successful payment-provider configuration. Payment availability, settlement time, returns, and disputes are subject to the payment provider and payment method. Aptoria is not a bank and does not hold customer funds.
Provider receipts and status are retained with the related payment record. Failed, uncertain, returned, or disputed outcomes require review before a landlord treats the charge as paid. Aptoria’s human-required floor includes the following actions:
• Terminate a lease
• File or advance an eviction
• Deny an applicant
• Deny an accommodation request
• Deduct from a security deposit
• Serve a rent-increase notice
• Send a formal collection demand
• Pool your data to set rents
• Set rent from external data
• Report a resident to a credit bureau
• Downgrade or close a habitability concern
• Override a deposit deadline
• Impose a mandatory fee

Frequently asked questions

Can a tenant pay rent online through Aptoria?

An eligible tenant can use a supported card or ACH flow after the Stripe-connected payment account, bank linking where required, and workspace configuration are complete. Availability depends on the provider and account.

Does a payment attempt mean the rent is paid?

No. Pending, processing, returned, reversed, and failed states must not be treated as settled rent. Check the provider-reported outcome and the related Aptoria record before closing the balance.

Can Aptoria post late fees across every property automatically?

Do not assume that a late-fee workflow is enabled or lawful for every property. Confirm the configured policy, the lease, the account’s release status, and applicable jurisdiction rules before using it.

Does Aptoria decide security-deposit deductions?

No. Security-deposit deductions and deadline overrides remain human-required actions. A landlord must review the records, itemization, and applicable deadlines.
