Operating loop for cross-functional property work

1. Name the decision

State the outcome, affected property or tenancy, consequence, due date, and person with authority.

2. Assemble the record

Identify source systems, evidence cutoff, conflicts, missing items, and the authoritative source for each field.

3. Assign and execute

Give one owner the next action with a boundary, dependencies, receipt requirements, and escalation rule.

4. Reconcile and learn

Verify external and internal effects, close downstream corrections, review recurrence, and update the control when the workflow changed.

Handoff scenario: a property record correction affects several teams

A unit number was corrected after maintenance photos, a resident message, an invoice, and an owner report used the earlier value. Correct the authoritative record, map every downstream consumer, and give maintenance, accounting, resident communication, and reporting separate dispositions. One database update does not prove that the operational consequences are closed.

Exception decision table

Two systems claim authority: Decide authority at the field and effective-time level while preserving conflicting evidence.
Work changes shifts or teams: Require an accepted handoff with current state, open evidence, dependency, and checkpoint.
A correction already reached an external party: Preserve version and recipient lineage and send a controlled correction when required.

• Downstream reports, messages, payments, and records receive dispositions.

Choose the question you need to resolve

Name the operating decision and the person who can authorize it.
Then choose the record task: establish authority, reconcile a conflict or prepare a release.

A corrected field may already have affected other systems or messages.

Workflows, reports, external systems, communications, and unknown consumers receive explicit dispositions.
