Once you enable the workflow, Aptoria sends rent reminders on its schedule, whether or not a tenant is on autopay, so you chase far less. A reminder goes out ahead of the due date, and if a balance is still unpaid afterward the follow-ups continue, firming up in tone as the period gets further overdue.
The tone is graduated on purpose: an early nudge assumes a simple oversight, a mid-stage message is clear and mentions that late fees may apply, and a seriously overdue balance is direct about next steps. The point is to be effective without being abrasive from the first message.

Disciplined, not relentless

The follow-ups are rate-limited and respect quiet hours, so a tenant is not messaged in the middle of the night or several times a day. A reminder that would land outside the allowed window is held and sent when the window next opens rather than dropped, and one that would exceed the frequency caps is suppressed and surfaced to you instead of being sent silently.
After a few attempts the automatic reminders stop, so a struggling tenant is never hounded endlessly. When escalation stops, the situation is handed to you rather than looping forever, which keeps the process firm but humane.

When reminders pause

Reminders are not sent when they would be inappropriate. If a tenant has disputed the charge, or the unit is under a habitability hold, escalation pauses on that period until the underlying issue is resolved, so no one is chased for money that is genuinely in question.
