The issuer may provisionally or finally remove funds from the merchant while the merchant or payment provider responds with transaction evidence. It differs from an ACH return, refund, or ordinary ledger adjustment.
For rent, preserve the lease charge, tenant ledger, payment authorization, receipt, processor identifiers, communications, and proof of the service or tenancy period. Post the reversal as a linked event so the original payment and resulting balance remain understandable.
Example: a card rent payment posts in June and is disputed in July. The July cash reversal should point back to the June payment; silently deleting June’s receipt would obscure both the tenant balance history and the bank reconciliation.
Respond by evidence and deadline
The processor supplies the dispute reason, response window, and permitted evidence. A landlord should use that case-specific workflow instead of sending sensitive records through an unapproved channel or assuming a ledger screenshot alone is sufficient.
Do not confuse payment disputes with tenancy decisions
A reversed payment can create a balance, but lease remedies, fees, notices, and possession steps depend on the lease and jurisdiction. Keep the financial record separate from any legally consequential decision.
